Managing Your Client Portfolio

Search, filter, and segment your client list. View detailed client profiles, manage GPS coordinates, and convert prospects into active clients.

Your client portfolio is the foundation of your field sales activity. Kolva gives you powerful tools to organize, search, and understand every account you manage — from quick filters to detailed profiles with full order and visit history.

Client List and Search

Navigate to Clients from the sidebar to see your full portfolio. The list displays each client's name, segment, last visit date, and key metrics at a glance.

  1. Use the search bar at the top to find any client by name, city, or contact person.
  2. Apply filters to narrow results by segment (A, B, C), last visit range, territory, or assigned rep (managers only).
  3. Toggle between list view and map view to see clients geographically.
  4. Sort by name, revenue, last visit date, or churn risk score to prioritize your outreach.

Pro tip

Use the segment filter to focus on your A-segment clients when time is limited. These are your highest-value accounts and should receive the most attention.

Client Segments: A, B, and C

Kolva automatically segments your clients based on revenue contribution, order frequency, and engagement patterns:

  • Segment A — Top-tier clients. High revenue, frequent orders, strong relationship. These accounts deserve regular visits and proactive attention.
  • Segment B — Mid-tier clients with growth potential. They order regularly but have room to increase volume.
  • Segment C — Lower-activity clients. They order infrequently or in small amounts. Focus on identifying upsell opportunities or understanding barriers.

Note

Segments are recalculated automatically as order data flows in. Managers and admins can also manually override a client's segment if business context warrants it.

Client Detail Page

Tap any client to open their detail page. This is a complete profile with everything you need before, during, and after a visit:

  • Contact information — Address, phone, email, GPS coordinates, and assigned rep.
  • Visit history — Timeline of all past visits with notes, outcomes, and voice debrief transcripts.
  • Order history — Every order placed, with amounts, dates, and product breakdown.
  • Open invoices — Outstanding balances synced from your ERP, if connected.
  • AI signals — Churn risk score, reorder predictions, and product recommendations specific to this client.
  • Documents — Uploaded files and attachments related to the account.

GPS Coordinates and Geocoding

Accurate GPS coordinates are essential for route optimization and the live map. Kolva handles coordinates in several ways:

  1. If you imported coordinates with your client data, they are already set.
  2. If an address is on file, Kolva geocodes it automatically in the background.
  3. When you check in at a client for the first time and no coordinates exist, Kolva prompts you to save your current GPS position for that client.
  4. You can manually edit coordinates from the client detail page under Edit > Location.

Pro tip

If you have many clients without coordinates, use the batch geocoding tool under Settings > Import to process them all at once based on their addresses.

Prospect-to-Client Conversion

When a prospect becomes a paying customer, Kolva makes the transition seamless:

  1. Open the prospect's profile and tap Convert to Client.
  2. Kolva runs a fuzzy match against your existing client list to prevent duplicates.
  3. If a match is found, you can merge the prospect data with the existing client record.
  4. If no match is found, a new client record is created with all prospect data — visits, notes, and deals — automatically migrated.

Note

The fuzzy matching algorithm normalizes names (removing accents, trimming whitespace, lowercasing) to catch duplicates even when spelling varies slightly between your CRM, ERP, and manual entries.
