Visits are the heartbeat of field sales. Kolva gives you a complete workflow for planning your day, executing visits with GPS verification, and ensuring every meeting ends with a clear next step.
My Day: Your Daily Command Center
Open My Day from the sidebar or the mobile home screen. This view shows everything happening today — scheduled visits, pending follow-ups, and AI-recommended actions.
- Tap Add Visit to schedule a new visit for today.
- Select a client or prospect from the search dropdown.
- Set a visit objective — a short description of what you intend to accomplish (e.g., "Present Q2 pricing," "Collect overdue payment," "Introduce new product line").
- Your visits appear as cards in a timeline, ordered by the AI route optimizer to minimize drive time.
- Drag and drop cards to manually reorder if needed.
Pro tip
Add all your visits first, then tap "Optimize Route" to let the AI rearrange them for the shortest driving distance. It considers your starting point, client locations, and traffic patterns.
The AI Briefing
Before each visit, Kolva generates a personalized AI briefing for the client. The briefing pulls data from across the platform and summarizes it into actionable intelligence:
- Last visit summary — When you last visited and what was discussed, including conversation tags and action items.
- Order trends — Recent orders, average order value, and whether ordering frequency is increasing or declining.
- Open invoices — Any unpaid balances that may need addressing during the visit.
- AI signals — Churn risk score, reorder predictions, and product recommendations tailored to this client.
- Strategy context — If your admin has set up the Strategy Playbook, relevant directives and coaching notes appear here.
Note
The AI briefing is generated fresh before each visit. It is also delivered as a push notification at 7:30 AM as part of your daily briefing, covering all scheduled visits for the day.
Check-In with GPS
When you arrive at the client's location, tap Check Inon the visit card. Kolva records your GPS coordinates and timestamps the start of the visit.
- Ensure location services are enabled on your device.
- Tap Check In — your GPS position is captured automatically.
- If the client has no GPS coordinates on file, Kolva prompts you to save the current location for future visits and route planning.
- The visit timer starts, tracking the duration of your meeting.
Visit Notes and Voice Debrief
During or after the meeting, capture what happened using one of two methods:
- Typed notes — Enter notes directly in the visit form. Use them for quick observations or specific details.
- Voice debrief — Tap the microphone icon and speak naturally for 60 to 90 seconds. Kolva transcribes your voice using Whisper, then extracts structured data: commitments made, objections raised, products discussed, competitor mentions, and next action items.

The voice debrief is perfect for capturing details while driving to your next visit. Speak naturally — the AI understands context and extracts structured information from conversational speech.
Checkout and Follow-Up Scheduling
When your meeting is over, tap Check Out. Kolva records the end time and prompts you to complete three quick actions:
- Schedule next visit — Defaults to 7 days from today. Adjust the date as needed. This visit automatically appears in your future My Day view.
- Send a follow-up — Choose from AI-generated email or WhatsApp templates that reference what was discussed during the visit.
- Log an order — If the client placed an order during the visit, capture it immediately so it is recorded in their history.
Note
Always set a follow-up date at checkout. Kolva uses scheduled follow-ups to build your future daily plans and sends reminders when a follow-up is overdue.
