Taking Orders in the Field

Create orders from the client page, browse the product catalog, use voice ordering, generate quick estimates with TVA, and track order history.

Taking orders in the field should be fast and frictionless. Kolva lets you create orders from the client page, browse your product catalog, use voice to dictate orders hands-free, and generate quick estimates — all from your mobile device.

Creating an Order from the Client Page

The fastest way to place an order is directly from the client's detail page:

  1. Open the client's profile and tap New Order.
  2. Search or browse the product catalog to add items. Tap a product to add it, then set the quantity.
  3. The order total updates in real time as you add or remove items.
  4. Review the complete order — products, quantities, unit prices, and total amount.
  5. Tap Submit Order to confirm. The order is saved and visible in the client's order history.

Pro tip

When visiting a repeat client, check their order history first. You can duplicate a previous order and adjust quantities instead of building from scratch.

Browsing the Product Catalog

The product catalog is organized by category for quick navigation. When adding items to an order, you can:

  • Search by name or reference — Type any part of the product name or SKU to find it instantly.
  • Browse by category — Navigate through product families (e.g., Hydraulic Oils, Greases, Gear Oils, Cutting Fluids).
  • View product details — Tap a product to see its full description, technical specifications, available packaging, and pricing.

Voice Orders

Voice ordering lets you place an order entirely hands-free — ideal when you are at a client site or driving between appointments:

  1. Open a new order and tap the microphone icon.
  2. Speak your order naturally. For example: "12 drums of hydraulic oil 46, 4 pails of EP2 grease, and 2 barrels of gear oil 220."
  3. Kolva transcribes your speech using Whisper, matches product names to your catalog, and fills in quantities automatically.
  4. Review the AI-populated order. Adjust any items that need correction.
  5. Confirm and submit.

Note

Voice orders require a Pro plan. The AI matches spoken product names to your catalog using fuzzy matching, so you do not need to say exact product codes — natural descriptions work fine.

Quick Estimates with TVA

Sometimes a client asks for a ballpark figure before committing to an order. The quick estimate feature gives you an instant answer:

  1. Tap Quick Estimate from the client page or order screen.
  2. Enter the products and quantities.
  3. Kolva calculates the total amount including TVA at 20%, showing both HT (before tax) and TTC (after tax) amounts.
  4. Share the estimate with the client on the spot or save it for later reference.

Pro tip

Quick estimates are not formal quotes — they are designed for fast, in-the-moment conversations. For a formal document with PDF generation and a shareable link, use the Quotes feature instead.

Order History and Status Tracking

Every order is recorded in the client's timeline and in your personal order history. Track the lifecycle of each order through its statuses:

  • Draft — Order created but not yet submitted.
  • Submitted — Order sent for processing.
  • Confirmed — Order confirmed by the back office.
  • Delivered — Order delivered to the client.
  • Manual — Paper-based order entered for tracking purposes (shown with an amber indicator).
